Managing Custom Member Fields in Your Organizational Membership Portal

The APIC Organizational Membership Self-Service Portal allows company administrators to view, manage, and export their organizational membership roster.

In addition to the standard membership information, APIC can configure additional fields specific to your organization. These fields can be made editable, exportable, or both, depending on your organization's needs.

What is available by default?

All organizational membership administrators can already export standard membership information from the portal. No additional setup is required.

If your organization needs to track or report on additional information, such as internal departments, facility names, or organizational classifications, you can request custom fields.

Important: Custom fields are not automatically available. They must be requested, reviewed, and configured by APIC for your organization.

How to request additional fields

To enable this feature:

  1. Contact the APIC Membership Team with your request.
  2. Provide the names of the fields your organization would like to use and briefly explain their purpose.
  3. Specify whether each field should be editable by your company administrators, included in membership exports, or both.
  4. APIC will review the request and determine whether the requested information and export permissions align with APIC's Privacy Policy.
  5. Once approved, APIC will configure the fields for your organizational membership account.

Not all requested fields or export permissions may be approved.

How to edit custom member fields

Once your organization has been configured:

  1. Sign in to your APIC account and open the Organizational Membership Self-Service Portal.
  2. Navigate to your Active Organizational Members roster.
  3. Locate the member whose information you want to update.
  4. Open the member's available editing options.
  5. Update the custom fields your organization is authorized to manage.
  6. Save your changes.

Only fields configured as editable will be available for modification.

How to export custom member fields

  1. Open your organizational membership roster.
  2. Select the roster export option.
  3. Download the exported membership report.
  4. If your organization has custom export fields enabled, these will appear as additional columns alongside the standard membership information.

This allows your organization to generate updated membership reports whenever needed, without requesting a separate report from APIC.

Frequently asked questions

Can my organization add custom fields directly?

No. Additional fields must first be requested and configured by APIC.

Can we export the standard membership fields without requesting this feature?

Yes. Standard membership information is already available for export to authorized company administrators.

Can we request any type of information?

You can submit a request, but APIC will review the proposed fields and export permissions to ensure they comply with APIC's Privacy Policy and applicable data-sharing requirements.

Will our custom fields appear for other organizations?

No. Organization-specific fields are configured for the appropriate organizational membership account.

Need assistance?

Contact the APIC Membership Team if you would like to request additional fields or need assistance managing your organization's membership information.

Managing Organization Email Domains

The APIC Organizational Membership Self-Service Portal allows authorized company administrators to manage the email domains associated with their organization.

This feature helps your organization identify contacts who use your company email addresses and encourages organizational members to keep their preferred email addresses aligned with your organization's requirements.

What can you do with email domain management?

As a company administrator, you can:

  • Add, edit, or remove company email domains.
  • Manage multiple domains if your organization uses more than one.
  • Identify which domains organizational members should use for their preferred email addresses.
  • Enable automatic email reminders for members whose preferred email addresses do not match your organization's required domains.

Accessing email domain settings

  1. Sign in to your APIC account.
  2. Open the Organizational Membership Self-Service Portal.
  3. Navigate to the Company domains section.
  4. Review the domains currently associated with your organization.

Adding a company email domain

  1. Select Add domain.
  2. Enter your organization's email domain, such as example.org.
  3. If members should be required to use this domain as their preferred email address, select Required for organizational members.
  4. Select Save.

You can add multiple domains. For example, an organization might use hospital.org and healthsystem.org.

Enter only the domain name, without the @ symbol. Personal email providers, such as Gmail, Yahoo, and Outlook.com, cannot be added as company domains.

Understanding the "Required for organizational members" setting

Each domain has a setting called Required for organizational members.

When enabled, the domain is considered an accepted email domain for active organizational members.

For example:

Domain Required for members
hospital.org Yes
healthsystem.org Yes
foundation.org No

In this example, organizational members should use a preferred email address ending in either @hospital.org or @healthsystem.org.

Members using another domain will receive an automated reminder to update their preferred email address.

If no domains are marked as required, no domain-related reminders will be sent.

How automatic email reminders work

When at least one domain is marked as required, APIC automatically checks the preferred email addresses of active organizational members.

If a member's preferred email does not match any required domain:

  1. APIC sends an email asking the member to update their preferred email address.
  2. The email identifies the accepted domains for their organization.
  3. If the member does not update their preferred email, APIC sends a reminder every 14 days.
  4. Reminders stop automatically once the member updates their preferred email to an accepted domain.

The first reminder is sent during the next scheduled eligibility check.

Important: These reminders do not prevent members from signing in, accessing their membership benefits, or maintaining their organizational membership. Their membership remains active, and the system does not automatically change their email address.

Only the member's preferred email address is checked. Having a matching alternate email address does not satisfy the requirement.

Editing or removing an email domain

To update an existing domain:

  1. Locate the domain in the Email domains section.
  2. Select Edit to change its settings, or Remove to delete it.
  3. Review the change and confirm.

If you remove the last required domain or turn off its required setting, automatic email domain reminders will stop.

Removing a domain does not remove existing organizational memberships.

How email domains help manage your organization

Email domains also support the association of APIC contacts with your organization.

For example, a person with a matching company email domain may be automatically associated with your organization and appear under Available Contacts in the organizational membership portal.

Being associated with an organization does not automatically provide an organizational membership. The individual must still be assigned a membership seat through the normal roster management process.

Frequently asked questions

Can we have more than one required email domain?

Yes. You can select multiple domains. Members only need to use a preferred email matching one of them.

What happens if a member uses a personal email address?

If your organization has required domains enabled, the member will receive reminders to update their preferred email. Their membership and access will not be affected.

Can we add a subdomain?

Yes. Subdomains must be added individually. For example, staff.example.org does not automatically match example.org.

Does adding a domain automatically make someone an organizational member?

No. Domain matching can help associate contacts with your organization, but membership seats must still be assigned separately.

Can we turn off automatic reminders?

Yes. Clear the Required for organizational members setting for all listed domains. You do not need to remove the domains themselves.

Who can manage our organization's email domains?

Only authorized company administrators with access to the organization's portal can manage domain settings.

Need assistance?

Contact the APIC Membership Team if you need help with your organization's email domains or have questions about the automatic reminders.

How to Change or Add a Company Administrator

Company Administrators can manage their organization’s APIC Organizational Membership roster.

To serve as a Company Administrator, an individual must:

  • Have an active Company Administrator designation.
  • Have an active APIC account under the organization.
  • They do not need an active Organizational Membership assignment to manage the roster.

Add a new Company Administrator

Company Administrator access is managed by APIC.

If your organization needs to add a new Company Administrator:

  1. Contact APIC and provide:
    • Organization name
    • Individual’s full name
    • Email address
  2. APIC will add or activate the Company Administrator designation.
  3. The individual can then sign in and access the Organizational Membership Roster.

What if the person is not yet an Organizational Member?

An active Organizational Membership assignment is not required to serve as a Company Administrator.

If they are not currently on the roster:

  1. Confirm the individual has an active APIC account associated with the organization.
  2. Contact APIC to request or activate the Company Administrator designation.
  3. Once the designation is active, the individual can access the Organizational Membership Roster without occupying an Organizational Membership seat.

Remove Company Administrator access

If someone should no longer manage the organization’s roster:

  1. Contact APIC.
  2. Provide the individual’s name and email address.
  3. APIC will remove or deactivate the Company Administrator designation.

Removing Company Administrator access does not automatically remove the individual from the organization’s membership roster.

If the person is also leaving the organization, they should be removed from the Organizational Membership roster separately.

Can a Company Administrator add another Company Administrator?

No.

Company Administrators can manage the membership roster, but they cannot grant Company Administrator access to other users.

APIC staff manages this designation.

Can an organization have more than one Company Administrator?

Yes.

More than one eligible individual may have Company Administrator access for the same organization.

Each administrator must have:

  • An active APIC account under the organization.
  • An active Company Administrator designation.

I have a Company Administrator designation but cannot access the roster

If you cannot access the Organizational Membership Roster, contact APIC.

APIC will verify:

  • Your APIC account is active.
  • Your account is associated with the correct organization.
  • Your Company Administrator designation is active.

Need help?

Contact APIC if:

  • You need to add a Company Administrator.
  • You need to remove a Company Administrator.
  • A Company Administrator cannot access the roster.
  • Your organization needs to change its primary roster manager.

How to Invite a New Organizational Member

If someone does not already appear under Active Org Members or Available Contacts, you can use the Organizational Membership Roster to add or invite them.

Add a new contact

  1. Open your Organizational Membership Roster.
  2. Select + Add Contact.
  3. Enter the individual’s email address.
  4. Choose whether you want to add the person as:
    • An Active Organizational Member, or
    • An Available Contact
  5. Continue through the prompts.

Why does APIC search by email?

APIC uses the email address to determine whether the individual already has an APIC account.

This helps prevent duplicate accounts and protects existing membership, certification, education, and other APIC history.

Carefully verify the email address before continuing.

If the person already has an APIC account

If APIC finds an existing individual who is currently associated with another organization, the system will not automatically move them to your organization.

Instead:

  1. Select the matching individual.
  2. Send the invitation.
  3. The individual will receive an email asking them to confirm the new organization relationship.
  4. Once accepted, the appropriate Organizational Membership assignment will be created.

If the person is new to APIC

If the system does not find an existing account, continue through the process to add the new individual.

The system will create the appropriate profile and membership relationship.

Review invitations

To review invitations:

  1. Open your Organizational Membership Roster.
  2. Select the Invitations tab.
  3. Locate the individual.

Invitation statuses may include:

  • Pending
  • Accepted
  • Expired
  • Cancelled

Invitation expiration

Invitations expire 30 days after they are sent.

If an invitation expires, a new invitation may need to be issued.

Resend an invitation

If an individual did not receive the invitation:

  1. Open the Invitations tab.
  2. Locate the pending invitation.
  3. Select Resend Invitation.

Ask the recipient to also check their spam or junk folder.

Cancel an invitation

If the individual should no longer be invited:

  1. Open the Invitations tab.
  2. Locate the invitation.
  3. Select Cancel.
  4. Confirm the action.

The invitation will no longer be valid, but its history will remain available.

What happens when the invitation is accepted?

Once the recipient accepts an invitation to become an Organizational Member:

  • Their organization relationship is confirmed.
  • Their membership assignment is created.
  • They appear under Active Org Members.
  • One Organizational Membership seat is used.

Need help?

Contact APIC if:

  • An invitation repeatedly fails.
  • The recipient cannot accept the invitation.
  • The invitation was accepted but the person does not appear on your roster.
  • The individual already has an APIC account but cannot be added.

How to Add or Remove Organizational Members

Company Administrators can add and remove individuals from their organization’s APIC membership roster.

Add an existing contact to your membership

If the individual already appears under Available Contacts:

  1. Open your Organizational Membership Roster.
  2. Select Available Contacts.
  3. Locate the person you want to add.
  4. Select Add to Membership.
  5. Confirm the action.

The individual will move to Active Org Members, and your available seat count will decrease by one.

Change a member type

Each Organizational Member has an assigned member type.

Available member types may include:

  • Professional Org Member
  • New to Profession Org Member
  • Supporting Org Member
  • Associate Org Member

To update the member type:

  1. Select Active Org Members.
  2. Locate the individual.
  3. Open the Member Type selection.
  4. Choose the appropriate member type.
  5. Save or confirm the change if prompted.

Changing the member type does not use an additional membership seat.

Remove a member immediately

If an individual should no longer receive membership through your organization:

  1. Select Active Org Members.
  2. Locate the individual.
  3. Select Remove.
  4. Choose today’s date for the removal.
  5. Confirm the action.

The individual will no longer occupy an Organizational Membership seat.

Removing someone from your roster does not delete their APIC account or membership history.

Schedule a future removal

You can also schedule a member to be removed on a future date.

For example, if an employee is leaving the organization at the end of the month:

  1. Locate the individual under Active Org Members.
  2. Select Remove.
  3. Select the future removal date.
  4. Confirm the change.

The member will remain active until the selected date.

The roster will indicate that the individual is scheduled for removal.

Important

A member scheduled for future removal continues to occupy a membership seat until the removal date.

Manage your future renewal roster

If your organization has already renewed, you can prepare the next membership term in advance.

For example, if someone should remain a member through the current term but should not continue next year:

  1. Use the Term dropdown to select the future term.
  2. Locate the individual.
  3. Remove them from the future term.
  4. Add a replacement if needed.

The individual will remain active through the current membership term.

Need help?

Contact APIC if:

  • A member cannot be added.
  • Your seat count appears incorrect.
  • A member appears more than once.
  • You receive a seat-limit error when you believe seats should be available.

How to Manage Your Organizational Membership Roster

Company Administrators can manage their organization’s APIC membership roster through the Organizational Membership Self-Service Portal.

Who can manage the roster?

To access roster management, you must:

  • Have an active Company Administrator designation.

If you believe you should have access but do not see the roster management option, contact APIC for assistance.

Access your roster

  1. Sign in to your APIC account.
  2. Navigate to your account area.
  3. Select Organizational Membership Roster.
  4. Confirm that the correct organization is displayed.

Select the membership term

Use the Term dropdown to select the Organizational Membership period you want to view.

Depending on your organization, you may see:

  • A past term
  • The current active term
  • A future term if your organization has already renewed

The active term is displayed by default.

Past terms

Past terms are available for reference only. You can see who was assigned during that membership period, but historical rosters cannot be changed.

Future terms

If your organization has already renewed, you can review and update the upcoming roster before the new term begins.

Changes to a future term do not affect the current term.

Understand the roster

The roster page includes three main areas:

Active Org Members

Individuals currently receiving APIC membership through your organization.

Available Contacts

Individuals associated with your organization who do not currently occupy an Organizational Membership seat.

Invitations

Invitations that have been sent to individuals who need to confirm their organization relationship or complete the membership process.

Review available seats

The top of the page shows how many Organizational Membership seats are currently assigned.

For example:

19 of 20 membership seats assigned

In this example, three additional seats are available.

Your organization cannot assign more members than the number of seats included with its Organizational Membership tier.

Chapter membership

Chapter membership is not currently managed through the Organizational Membership Roster.

Individual members remain responsible for their chapter membership.

Some organizations prepay for chapter membership. If this applies to your organization, contact APIC for assistance.

Need help?

Contact APIC if:

  • You cannot access the roster.
  • The wrong organization appears.
  • Your available seat count appears incorrect.
  • A member appears more than once.
  • You need to change your Company Administrator.
  • A roster change does not appear correctly.

APIC Chapters Overview

APIC Chapters serve as vital extensions of the Association for Professionals in Infection Control and Epidemiology (APIC) as they play a crucial role in supporting local IPC efforts.

  • Community: Chapters foster a strong sense of connection among local infection preventionists.
  • Professional Development: Chapters offer opportunities for continuing education and skill-building through locally organized meetings, workshops, and conferences.
  • Collaboration: Chapters facilitate collaboration among infection preventionists, healthcare facilities, and public health organizations to address common challenges, improve patient safety, and promote IPC best practices.

My organization needs to update the roster and request a renewal invoice. Who do we contact?

You can email us at membership@apic.org for roster update and invoice requests.

I’m already an individual member. How will my membership be affected when I’m covered by an organizational membership?

You will retain your current APIC ID, member records, and access to online communities, publications, and events. The primary change is that your membership will be linked to your organization, which will be responsible for annual renewal payments. Reach out to membership@apic.org if you have more questions.

My company already has several individual APIC members. Can we still become an organizational member?

Yes. APIC can work with you to organize the membership and tie everyone to a single invoice without impacting anyone’s current access to resources and benefits. Contact us at membership@apic.org to start the transition.

What is the minimum number of individuals required for an organizational membership?

APIC's organizational membership operates on a tiered system with a minimum requirement of 6 members.

To get the most out of this program, we encourage you to include colleagues involved in infection prevention, such as your EVS manager, C-suite members, or staff. Each tier (e.g., 6-10 members, 11-20 members) has a flat fee so you’re encouraged to enroll the maximum number of people. For more questions, email us at membership@apic.org.

Who can be enrolled under an organizational membership?

Any individual involved in IPC can be enrolled under an organizational membership. This includes the following:

  • Infection Preventionists (IPs)
  • Non-IP healthcare professionals with IPC responsibilities
  • Other professionals contributing to IPC efforts

Individuals covered by an organizational membership must still meet the current definition of the appropriate member categories (Professional, New to Profession, Associate, etc.).

For more questions email us at membership@apic.org.

What is the eligibility for organizational membership?

Any organization committed to advancing IPC is eligible to join. This means a facility, a system, and a supplier who are involved in IPC activities are all eligible. Reach out to membership@apic.org if you have more questions.

My company wants to join as an organizational member. How do we begin?

The first step is to contact us at membership@apic.org and share your company’s background and roster. A roster is the set of individuals you wish to enroll under your APIC membership. Our team will validate your eligibility and create a custom invoice.

Organizational membership

Companies, facilities, and organizations dedicated to improving infection prevention and control (IPC) can benefit from APIC's Organizational Membership program. This program allows any organization to enjoy these primary benefits:

  • Cost Savings: Enroll groups of individuals at a discounted rate compared to individual memberships
  • Simplified Administration: Manage multiple memberships with a single invoice and centralized enrollment process
  • Full Member Benefits: Each enrolled individual receives the complete range of APIC member benefits

The term “organizational member” describes the facility or company that signed with APIC.
